Procurement & Supplier Management
- Manage end-to- end procurement activities, including supplier sourcing, negotiation, pricing, and ongoing performance management
- Build and maintain strong working relationships with Chinese suppliers, ensuring accountability on lead times, quality, and packing requirements
- Proactively resolve supplier delays, quality issues, and non-compliance to protect project schedules
Project Management & Delivery
- Own full-cycle project delivery from procurement through to shipment readiness
- Develop, maintain, and actively manage project schedules across multiple suppliers and workstreams
- Identify critical path risks early and implement mitigation actions to ensure on-time delivery
- Coordinate inspections, packing, and export preparation activities
Logistics & Export Execution
- Coordinate international export logistics from China to overseas destinations
- Manage Incoterms, shipment bookings, and cut-off timelines
- Review and approve export documentation packages, including Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, and inspection documents as required
- Liaise closely with freight forwarders, agents, and inspection bodies to ensure compliant and timely shipments
Stakeholder & Team Coordination
- Act as the primary operational interface between China-based suppliers and Australia-based stakeholders
- Provide clear, accurate project status updates, risk assessments, and mitigation plans
- Guide and support coordinators or support staff with clear priorities and accountability
Reporting & Continuous Improvement
- Prepare regular progress reports covering timelines, risks, and cost considerations
- Identify opportunities to improve procurement, logistics, and documentation processes
- Implement practical improvements to reduce delays, errors, and operational risk
Ethics, Compliance & Governance
- Uphold the company’s standards of ethical conduct, integrity, and compliance in all procurement and logistics activities
- Ensure transparent supplier selection, pricing, and contract management processes
- Prevent conflicts of interest and disclose any potential related-party relationships
- Maintain accurate, auditable records for procurement decisions, costs, and logistics aComply with all applicable local laws, export controls, and company policies
Skills & Experience
Essential
- 6to10+ years’ experience in procurement, supply chain, logistics, or project management roles
- Hands-on experience managing Chinese suppliers and international shipments
- Practical knowledge of export logistics and documentation (execution-level, not theoretical)
- Strong project management capability with the ability to manage multiple priorities simultaneously
- Native Mandarin with strong spoken and written English
- Proven experience working with overseas stakeholders or foreign headquarters
Desirable
- Experience shipping to the Middle East or other complex international markets
- Experience supervising coordinators or small operational teams
- Advanced Excel skills and familiarity with project tracking tools (e.g. Gantt charts, Smartsheet, or similar)
