Summary of Main Responsibilities
We are seeking a highly organized and detail oriented procurement support specialist. This role will support Asia Sourcing team in Shanghai and Singapore of our daily operations:
- Manage price forms and New vendor set up in SAP, ensure data accuracy and facilitating the smooth and complaint approval process.
- Facilitating Supplier Third Party Risk Management (TPRM) program with potential Asia Supplier, ensure the integrity and sufficient communication between supplier and internal sourcing managers in Asia and US;
- Facilitating key information database and trackers update by team with accuracy and on time;
- Product Sample courier or receiving via FedEx and Customs, organize the product samples in Shanghai office.
- Been able to sit on meeting on with cross functional team to represent Sourcing, ensure sourcing actions are not delayed or missed.
RESPONSIBILITIES
Price & Form management:
- Accurately populate, update, and maintain price lists, cost sheets, Vendor Master Data with review and approval by Sourcing Managers.
- Ensure all pricing information in the system is current, accurate, and properly documented.
Process & Workflow Support:
- TPRM assessment: Assist initiation of the process, proactively follow up with suppliers and internal stakeholders, including filing and correspondence
- Track the status of till the final approval
Data Integrity & Communication
- Provide general administrative support for the key database/trackers
- Coordinate regular update and track the status, identify and correct discrepancies
- Join operational calls such as SCR (supplier change review) meeting or Rebranding project meeting, serve as a liaison between the procurement team and other departments (e.g., Finance, Operations), take note of sourcing actions and communicate effectively on sourcing updates.
Product sample
- Courier to US cross functional team members via FedEx, ensure all information in the FedEx system is accurate.
- Receiving product samples from US with dealing with China Customs clearance process.
- Organize and labelling product samples in office sample storage room, generate trackerwith product information and location.
REQUIREMENTS
- Bachelor Degree or equivalent.
Must have:
- 2+ years of experience in multinational company or global environment.
- Preferred experience in Sourcing organization or PMO organization.
- Solid interpersonal, written English communication skills.
- Able to communicate effectively with suppliers and cross function team in Asia & US.
- High Fluency in Microsoft office skills – Excel data maintain and analysis is a must.
- Willing to travel at least 30% for business purposes (domestically and internationally).
- Quicker learner, self-motivated, detail oriented & full of ownership.
Nice to have:
- Experience working in a Medical device industry environment.
- Fluent verbal English communication is plus.
